ESCWA Web Governance

These are the standards and guidelines for managing and maintaining the ESCWA website. All content entered after 1 May 2016 should follow the guidelines set here and page revisions for existing pages should be made in accordance with the timelines provide

Standards for Downloadable File Properties

All documents must be in line with the ESCWA Brand Guidelines and using ESCWA templates. If there is a template that is not available for your type of document, contact CSS (Emile Aoun) for guidance. Check the templates section for the available templates.

All documents must be posted in Portable Document Format (PDF) or ePUB. Word, Power Point, Excel or other formats should not appear on the website.

To ensure all persons can read the documents (and they don't come up as symbols/junk) use the fonts already in the "styles" of the templates or:

  • Arial for Arabic
  • Times New Roman for English

For the update process for past events: Do NOT change document itself (meaning, do not change the template). Only change the properties (file name, title, etc).

How to Save from Word to PDF

Go to File > Save As > Browse

In the "Save as type" select PDF

Enter the Author (see below)

Enter Tags (see below)

Enter the Title of the document (see below)

Enter the Subject (see below)

Enter the File name (see below)

Select "Options"

Be sure "Document properties" is checked.

Press OK and Save.

 

Authors

If the attachment is on an ESCWA template/branded material, the author should always be United Nations Economic and Social Commission for Western Asia (ESCWA).

If the attachment is not on an ESCWA template/branded material, the author should be United Nations Economic and Social Commission for Western Asia (ESCWA) or alternative in line with the administrative arrangements on the production and delivery of the material.

Tags

Select keywords from the United Nations Bibliographical Information System. You may select multiple keywords.

  • A term or phrase used in a subject heading/thesaurus list to represent a concept, event, or name.
  • Conceptual analysis of an item: what is it about?
  • Translation of the analysis into a particular subject heading/thesaurus system. (UN Thesaurus)
  • Allow users to retrieve all material dealing with the same subject(s), regardless of format.
  • Controlled: identify a preferred way of expressing a concept

Types of concepts to identify:

  • Topics
  • Names of:
    • Persons
    • Corporate bodies
    • Geographic areas
  • Time periods
  • Titles of works
  • Form of the item

Titles

In the language of the document enter the webpage title (if the document will be associated with a webpage)

If there are multiple files/attachments for an event or associated publication add 1 or 2 word descriptor at the end of the title.

Always add the language of the document.

=Title + type of document (if applicable) + language

So, if it is a supplement to a publication:

  • Arab Millennium Development Goals (MDGs) Report: Summary 2015 (English)

So, if it is an attachment to an event webpage:

  • Arab Internet Governance Forum (IGF), 2nd meeting information note (English)
  • Arab Internet Governance Forum (IGF), 2nd meeting participants (English)
  • Arab Internet Governance Forum (IGF), 2nd meeting visa information (English)
  • Arab Internet Governance Forum (IGF), 2nd meeting agenda (English)
  • Arab Internet Governance Forum (IGF), 2nd meeting hotel recommendations (English)

Subject

Subjects in PDF properties help search engines decide what to put in this section, so enter this portion in the language of the document:

  • Should inform and interest users if they saw your description in a search result
  • Each page should have a unique description.
  • Do not copy/paste from the summary unless it is truly a good fit.
  • Less than 160 characters (including spaces) is usually recommended or it is cut off.
  • Start with main purpose/topic, for example
    • This publication [main purpose]….
    • This event [main purpose or topic]… (future tense for upcoming events, past tense for concluded events) Note:

After the event, Content owners should revise the text to reflect the past, get approval from the Content Approver and provide to the Web Focal Point.

File Name

The file name is also the URL that will appear in the web browser, with the addition of the file type (.pdf, .ppt., .doc)

It is recommended to use English for the file name, as some people have reported difficulties/errors when Arabic is used here. If the document is in Arabic, write "arabic" at the end.

Definitions

  • ESCWA website: ESCWA's public website https://www.unescwa.org
  • Subsites: Set of interconnected web page not necessarily developed by ESCWA, e.g. a publication site, a special event site, a project site.... A list of sub-sites and visual captures can be found in the List of ESCWA Subsites section (all existing sub sites are being migrated to the new templates with the same brand and design)
  • Content Management System: A system that facilitates the use of reusable components or customized software for managing Web content.
  • Drupal: A free and open-source content-management framework written in PHP
  • Core title: The title used to identify the work and summarize the contents. (In come ESCWA titles, the core title is before the : and sometimes it is after the :.  The core title should pique the reader's curiosity.
  • Subtitle:  An explanatory or alternate title.
